Job Description

Hilton Supply Management (HSM) is the largest hospitality group procurement organization globally and an integral division within Hilton. HSM manages the supply chain of hotels, both Hilton and non-Hilton branded hotels. With more than 25,000 hotels in our program (including over 14,000 non-Hilton-branded hotels), HSM drives economies of scale and negotiates competitive contracts with industry-leading suppliers - ensuring direct savings on the product & services for hotel partners and being a value-add partner on all levels.

Main tasks

Communication

• Support communication between hotels, suppliers, and internal teams.
• Assist in preparing clear updates, reports, and presentations on procurement activities.
• Ensure smooth information flow during sourcing events, meetings, and follow ups.

Coordination & process support

• Organise procurement activities, timelines, and documentation.
• Coordinate meetings, training sessions, or any other support for hotels
• Track progress of procurement tasks and ensure deadlines are met.
• Maintain structured filing and ensure documentation is complete and accessible.

Systems & Data accuracy

• Maintain accurate data in procurement systems (e.g., BirchStreet).
• Update templates, catalogues, supplier information, and price lists.
• Support tracking and preparing data for reporting.
• Ensure compliance by keeping records, contracts, and audit documents up to date.

Market & Supplier analysis

• Collect and structure market information from hotels, suppliers, and industry sources to support sourcing activities and category insights.
• Compare supplier offers, pricing, and product specifications using standard templates to ensure consistency, accuracy, and compliance with procurement requirements.
• Conduct basic benchmarking by reviewing price levels, product alternatives, and supplier performance to identify potential savings and optimisation opportunities.
• Support cost-saving initiatives by analysing variances between current spend and proposed supplier conditions.
• Maintain clear and organised records of market data, supplier communication, and evaluation results to ensure transparency and control throughout the procurement process.

Qualifications

Who are you?

You are curious, detail-oriented, and able to organise your work independently. You enjoy analysing information and building strong relationships with both internal and external stakeholders, which is why fluency in Italian and English is essential. You work confidently with systems, tools, and established processes, and you naturally follow company policies and guidelines. You are flexible when business needs evolve and open to taking on additional responsibilities that fit the scope and purpose of the role.

For extracurricular internships, we offer a monthly allowance of €400 plus staff canteen and Hilton additional benefit (access to our Hilton University platform, cross training, corporate discounts, etc.)
