We are looking for a Facility Specialist to join the Facility Management team based at our Rome Headquarters, home to the Creative Offices, Haute Couture operations (Atelier and Showroom), and the Historical Archive.

Main Tasks And Responsibilities

• Manage facility management activities across the Rome premises (offices, ateliers, showrooms, historical archive, warehouses, etc.), ensuring an appropriate service level for end users and business continuity across all sites. The role requires a constant operational presence, a pragmatic and solution-oriented approach to daily needs, and the ability to balance coordination activities with hands‑on operational support, ensuring timely interventions and seamless service continuity.


• Support the management of specific projects and extraordinary maintenance activities.


• Manage the supplier portfolio, including:
  
  
  
  • Operational coordination of service providers (cleaning companies, movers, maintenance contractors, security services, etc.);
  
  
  • Monitoring supplier performance against contractual obligations;
  
  
  • Controlling costs, timelines, and service levels in line with company guidelines;
  
  
  • Preparing performance monitoring reports;
  
  
  • Ensuring compliance with regulatory requirements related to outsourced services and contracts.
  
  


• Conduct regular site inspections across managed properties and prepare related technical reports.


• Support day-to-day facility management activities, including purchase orders, filing and archiving, materials management and distribution, company vehicle and guest accommodation handover/return processes, first-aid kit inspections, petty cash management, space set-up activities, and other operational tasks. The role requires close collaboration with various corporate functions, including Procurement, Vendor Administration, Health & Safety, Security, and IT.


• Manage purchase requests and orders through SAP, monitoring the entire procurement lifecycle and coordinating with Procurement, Vendor Administration, and external suppliers through to successful process completion.


• Support the management of Health & Safety and environmental matters across the assigned sites, in coordination with the Health & Safety function.


• Accompany suppliers during site inspections, maintenance activities, and technical interventions.

Profile

• 1-3 years of experience in a similar role or in activities related to Facility Management. Experience within the fashion industry is considered a plus.


• Technical diploma (e.g., Surveyor/Construction Technician or equivalent).


• Strong technical knowledge of building-related matters, including systems and utilities, architectural aspects, and Health & Safety requirements.


• Ability to communicate effectively with different stakeholders and organizational levels, including department directors and business functions.


• Willingness to perform both coordination and hands‑on operational activities, with a proactive mindset and strong focus on business needs.


• Strong results‑oriented attitude.


• Teamwork and collaboration skills.


• Ability to solve complex problems under challenging deadlines.


• Knowledge of AutoCAD, Microsoft Office, and SAP is considered a plus.


• Good knowledge of English is considered a plus.
