This role focuses on administrative, contractual, and project coordination tasks that help ensure smooth execution of projects across the Southeast Division. The ideal candidate is organized, detail‑oriented, and comfortable working in a fast‑paced consulting environment. /p pbYour Responsibilities as a Project Administrator: /b /p ul liAssist Project Managers with contract administration, including drafting, reviewing, and tracking contract documents, amendments, sub‑agreements, and compliance requirements. /li liSupport project setup in internal systems, ensuring accuracy of budgets, billing rates, task codes, and contractual obligations. /li liCoordinate project schedules, deadlines, and deliverables with internal staff and external partners. /li liMaintain project files, documentation logs, subcontractor records, and QA/QC forms in SharePoint or designated systems. /li liTrack project progress, deliverable status, risks, and issues; assist with preparing project status reports. /li liSupport invoice preparation, accounts payable coordination, and monthly billing cycles. /li liMonitor aged receivables and support project managers with collections. /li liSchedule and coordinate project meetings, take notes, and distribute action items. /li liProvide general administrative support to project teams across the Woburn and Quincy offices. /li /ul pbWhat we're looking for: /b /p ul liAssociate or Bachelor’s degree in Business Administration, Project Management, Engineering, or related field preferred. /li li3+ years of experience in an administrative support or project coordination role (AEC industry preferred). /liliStrong organizational skills with excellent attention to detail. /li liProficiency with Microsoft Office 365 (Outlook, Teams, Excel, Word, PowerPoint) and collaboration tools such as SharePoint and Teams. /li liBasic understanding of contracts, proposals, or project financials. /li liExcellent written and verbal communication skills. /li liAbility to manage multiple priorities and work both independently and collaboratively. /li liSponsorship not available now or in the future. /li /ul pbWhy you'll love working for us: /b /p ul liCompany‑subsidized medical and dental. /li liCompany‑paid life, short, and long‑term disability. /li li401k match, tuition assistance, and more. /li liCross‑training and the ability to work on a variety of projects. /li liPerformance‑based bonuses or other incentives. /li liWorking with the best and brightest in the industry. /li li2,000+ employee national firm with 70+ locations across the US. /li /ul pApex Job Title: Project Administrator /p pReq ID: 11865 /p pWe believe in equality for all and celebrate the diversity and differences of our employees, customers, and communities.
