Position in the organization
The Administrative Assistant (AA) is a third‑party provider’s employee, executing administrative and corporate tasks on behalf of the Flight Operations Country Manager (FOCM). The AA supports the Cabin Crew Base Manager (CC BM) and provides administrative and clerical services to ensure efficient operations.

• The administration of HR issues (newcomers, exits, paper contract distribution, collection and processing, record‑keeping of tests/upgrades, meeting minutes warnings, etc.) for the crew at his/her base.
• Ensure proper flow of communication between CCs and BM, Flight Crew (FC), FOCM, BM and/or FOCM with other parties.
• Handle incoming postal items and documents from CCs / FCs directed to BM/ABM/FOCM or others.
• Send mail to HQ in Budapest or other bases upon request by BM/ABM/FOCM.
• Collect and check expense and travel claims, unpaid leave request forms and sick‑leave paper at his/her base.
• Maintain office supply inventory.
• Maintain office equipment.
• Manage company benefits.
• Take care of parking cards / transportation allowance at his/her base.
• Keep base guide up‑to‑date.
• Organize shredding according to company needs.
• Collect and handle cabin operation forms filled and signed during duty (Lost/Damage/ Injury/ Illness, FW/FDIR/HIGH Value).
• Ensure Flight Operations flight envelopes are stored in the base office for a minimum of 3 months, then destroyed after 3 months of validity by contracted companies.
• Follow‑up flight‑crew related delay codes and report on‑time performance to the FOCM.
• Administer uniform distribution and manage complaints.

• In‑depth knowledge of safety principles related to aircraft operating processes and procedures.
• Understanding of department policies, procedures and operational processes.
• Excellent communication and organizational skills.
• Excellent problem‑solving and time‑management skills.
• Excellent English language skills (written and spoken).
• Computer skills (MS Office package: Outlook, Word, Excel, PowerPoint).
• Excellent performance and work ethic.
• Previous administrative work experience is an advantage.
• Education requirements: training on departmental policies.

Workplace : Palermo Airport

Employment Contract : Part‑time 20 hours

Classification : Level 7 National Collective Bargaining Agreement (CCNL Air Transport)
